POSITION SUMMARY

The Program Operations Manager of Celebrations and Fitness supports the National Director of Celebrations and Fitness in ensuring operational excellence, program consistency, and data driven decision-making across all DSL communities. This position requires approximately 30%-40% travel at the discretion of the National Director of Celebrations and Fitness. This role serves as a central point of coordination for celebrations, fitness initiatives, and lifestyle programming, fostering high-quality resident experiences and operational efficiency. The Program Operations Manager will engage directly with communities, provide training and mentorship to Celebration Directors, and lead efforts to standardize and enhance programs that enrich residents’ physical, intellectual, social, emotional and spiritual well-being.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Operations and Management:

  • Coordinate logistics for community-wide celebrations, fitness, and lifestyle programs, ensuring resources and materials are available to all communities. 
  • Oversee the planning, scheduling, and execution of lifestyle programs and special events that align with corporate standards and resident interests. 
  • Develop and distribute a standardized Program Toolkit for tracking, data collection, and reporting to streamline efforts across communities. 
  • Support program adaptation and continuous improvement based on performance metrics, audits, and resident feedback. 
  • Review and analyze community activity calendars, newsletters, and communications to ensure consistency with brand standards and quality expectations. 
  • Provide feedback and guidance to Celebration Directors to enhance content, alignment with corporate initiatives, and overall presentation quality. 
  • Maintain a robust public relations presence through collaboration with marketing on promotional materials and community-facing communications.

Training and Development:

  • Partner with corporate leadership to design and implement comprehensive training programs for Celebration Directors and engagement teams. 
  • Conduct regular training sessions to promote skill development, creativity, and consistency in programming across communities. 
  • Mentor and support Celebration Directors, fostering collaboration and problem-solving across the Celebrations and Fitness teams.

Consistency and Quality Assurance:

  • Implement strategies to ensure consistent and high-quality program delivery across all DSL communities. 
  • Conduct regular audits and assessments to evaluate adherence to corporate standards, program quality, and resident satisfaction. 
  • Develop and analyze resident surveys to inform programming decisions and enhance engagement.

Data Reporting and Analytics:

  • Collect, organize, and analyze data to track program participation, resident satisfaction, and performance outcomes. 
  • Prepare reports and presentations summarizing key trends and opportunities for improvement. 
  • Maintain databases for resident engagement, volunteer activity, and quality assurance metrics.

Administrative and Project Management:

  • Assist in the preparation of departmental budgets, monitor expenses, and manage supply requisitions in accordance with budgetary guidelines.
  • Lead and support special projects and initiatives as assigned by the National Director of Celebrations and Fitness.
  • Coordinate volunteer programs, including recruitment, scheduling, and recognition initiatives.

SUPERVISORY RESPONSIBILITIES

  • Directly supervises Celebration Directors, Celebration Coordinators, and Fitness staff across multiple community locations. 
  • Provides leadership, guidance, and performance management to ensure program effectiveness and staff development.

QUALIFICATIONS

  • Bachelor’s degree in Recreation Management, Hospitality, Gerontology, or a related field preferred. 
  • Minimum of 3–5 years of experience in program management, recreation, or hospitality within a senior living or community-based organization. 
  • Proven leadership and training experience, with strong interpersonal and communication skills. 
  • Demonstrated ability to manage multiple priorities, projects, and stakeholders simultaneously. 
  • Proficiency in Microsoft Office Suite and data management/reporting tools. 
  • Familiarity with Federal, State, and Local regulations for senior living communities preferred.

Knowledge, Skills and Abilities:

  • Language Ability:
    • Ability to communicate effectively in writing and verbally, speaking the primary language of the residents. 
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. 
    • Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Skills:
    • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.

    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  •  Computer Skills:
    • Ability to use Microsoft Windows, including Word and Excel. Ability to use software to design calendars and signs. Ability to use email and the Internet.

ENVIRONMENTAL ADAPTABILITY

  • Works primarily indoors in a climate-controlled setting
  • Possible exposure to chemicals as identified in the MSDS Manual

Work Environment

This position may require periodic travel to DSL communities for training, audits, or special events. Flexibility in scheduling may be necessary to support evening, weekend, or holiday programming
